Webinar Recap: Cerbo’s Native AI Scribe – Your Questions, Answered

Cerbo recently hosted a live webinar introducing its new native AI Scribe, giving providers an inside look at how the feature works within the Cerbo clinical note workflow.

Led by Cerbo’s product team, the session included a live walkthrough of recording an encounter, generating notes, creating custom templates, uploading audio files, managing consent, and setting up AI Scribe for users. The team also answered questions about accuracy, pricing, telehealth, privacy, and what’s coming next.

Here’s a recap of the key takeaways.

AI Scribe Built Directly Into Cerbo

One of the central points of the webinar was that Cerbo’s AI Scribe is embedded directly within the existing clinical note workflow.

Rather than requiring providers to move between applications, copy and paste generated notes, or use a separate push-to-note process, the Scribe works inside the Cerbo encounter note.

The basic workflow is:

  1. Open a new clinical note.
  2. Start the recording and obtain patient consent.
  3. Conduct the visit.
  4. Generate the note.
  5. Review, edit, and sign the note.

The generated note does not become part of the medical record until the provider reviews and signs it.

A Workflow Designed Around Provider Review

During the demonstration, Cerbo showed several controls designed to give providers visibility into the recording and note-generation process.

Providers can:

  • Monitor recording time and audio quality.
  • Pause and resume recording during an encounter.
  • Generate a note when the visit is complete.
  • View the resulting transcript.
  • Review and edit the generated clinical note.
  • Rate the quality of the generated note.
  • Recover a note if a technical issue prevents it from being inserted into the encounter.

The recording interface also includes a visual audio indicator. If audio quality drops, the indicator changes and an alert lets the provider know that the microphone may need attention.

Pro Tip: Check the microphone selected by your browser before starting your first recording. Cerbo recommends making sure the correct microphone is being used and that it is capturing the necessary audio.

Custom Notes for Different Documentation Styles

Providers don’t have to rely solely on a standard SOAP-style note.

Cerbo’s Custom Note functionality builds on its existing Chart Parts functionality, allowing practices to create templates that reflect their existing documentation workflows.

Custom notes can include:

  • Headers and subheaders
  • Fillable areas for information discussed during the encounter
  • Specific instructions for how information should be presented
  • Bullet lists
  • Narrative sections
  • Tables
  • Existing Chart Part variables

Providers can add instructions to tell the Scribe how they want information organized. For example, a section can be configured to produce a timeline, a bullet list, or information in a table.

Existing Chart Part variables that pull information from the patient record can also remain in their designated locations.

The goal: Instead of changing how your practice documents, customize the Scribe to better match how you already work.

Accuracy, Feedback & Continuous Improvement

AI-generated documentation still requires provider review, and the Cerbo team emphasized that point throughout the webinar.

Cerbo explained that its team conducts weekly evaluations of AI Scribe output, reviewing samples against multiple criteria, including:

  • Faithfulness to the encounter
  • Content quality
  • Consistency and coherence
  • Overall note structure

The team uses a 1–5 scoring system and personally reviews notes that fall below established thresholds.

Providers also have an opportunity to rate generated notes and submit feedback when something is missing or needs improvement. Cerbo said this feedback is reviewed by its AI Scribe team alongside its ongoing monitoring process.

The Scribe was also developed with feedback from a beta group of more than 100 providers, who worked with Cerbo during development.

Telehealth & Audio Uploads

Native telehealth support for AI Scribe is not available yet, but Cerbo said it is actively being developed.

In the meantime, providers who record telehealth encounters through another platform can download the audio file and upload it to Cerbo using the audio upload option within the encounter note.

The current workflow is:

  1. Record the visit using your existing platform.
  2. Download the audio file.
  3. Open the Cerbo encounter note.
  4. Use the upload option to add the audio file.
  5. Generate the note from the uploaded recording.

Cerbo noted that providers should verify that their recording captures both sides of the conversation for the best possible documentation.

The audio upload functionality may also be useful beyond telehealth, including situations where providers record encounters separately and upload them later.

Patient Consent & Data Privacy

Consent was another major focus of the webinar.

When a provider starts a live recording, Cerbo prompts them to obtain consent from the patient. If the patient declines, the provider can select the option not to record and continue with the manual documentation workflow.

Cerbo also maintains a record of the consent decision, including who made the choice, when it occurred, and whether the patient consented.

The team emphasized that practices are responsible for establishing appropriate consent policies and recommended reviewing practice policies, procedures, and documentation with legal counsel.

For uploaded audio files, the current consent workflow is different: Cerbo explained that the system assumes consent was obtained previously because the recording occurred outside of Cerbo.

According to the team, audio recordings are deleted after a successful note is generated, while the transcript and associated note are retained for monitoring and evaluation purposes. Cerbo also stated that patient data is not used to train its AI model.

Pricing & User Access

Cerbo currently offers two AI Scribe plans:

  • AI Scribe Core: $29 per user per month for up to 60 clinical notes.
  • AI Scribe Unlimited: $59 per user per month (standard price $79) for unlimited notes.
    • The $59 Unlimited price is promotional pricing through June 30, 2027.

AI Scribe is priced on a per-user basis, so practices can choose which users receive access. Users who don’t need the feature can remain on the No Access option.

The webinar also clarified that administrators are only counted as paid Scribe users if they are specifically enrolled in an AI Scribe plan.

There is currently no free trial.

If a Core user reaches the 60-note limit, additional recordings are blocked until the next billing period unless the user upgrades to the Unlimited plan.

What’s Coming Next?

Several frequently requested capabilities are currently being considered or developed.

Cerbo identified additional patient context as an active area of development. Future functionality is expected to bring information such as:

  • Previous clinical notes
  • Medication lists
  • Lab information

Frequently Asked Questions

What is Cerbo’s Native AI Scribe?

Cerbo’s Native AI Scribe is an AI-powered clinical documentation tool that generates notes from recorded patient-provider conversations. The AI-generated note is placed directly into the Cerbo interface, where providers can review, edit, and finalize the documentation before saving and signing.

Can providers customize the notes generated by AI Scribe?

Yes. Cerbo AI Scribe supports custom note templates built with Chart Parts, allowing providers to structure AI-generated documentation around their existing clinical workflows. Custom Notes can also support specific use cases, such as generating a wellness plan from an AI Scribe consultation note.

Can I edit an AI-generated note if it contains mistakes?

Yes. Cerbo AI Scribe notes are fully editable within the Cerbo interface. Providers can review the AI-generated documentation, correct inaccuracies, add missing information, and make other changes before saving and signing the note.

Does Cerbo AI Scribe work with telehealth visits?

Official telehealth support for Cerbo AI Scribe is currently on the roadmap. In the meantime, providers can record a telehealth encounter separately and upload the audio file to Cerbo using the paperclip button next to Start. Cerbo’s current telehealth integration does not have a built-in audio recording option.

How does patient consent and privacy work with AI Scribe?

Cerbo AI Scribe displays a consent pop-up before live recordings to help providers address patient consent for AI-assisted documentation. For uploaded audio files, the current workflow assumes that consent was obtained before the recording was uploaded. Cerbo also provides guidance covering AI Scribe patient consent, data privacy, and security.

What features are still on the roadmap?

Cerbo is continuing to develop additional AI Scribe capabilities. Features currently on the roadmap include incorporating additional patient context such as previous notes and laboratory results, pending orders, and expanded telehealth functionality. Cerbo is also working on ways to alert users when audio quality may affect the recording.

Does Cerbo AI Scribe require a note template?

A note template is not always required. For live recordings, providers can use a note template and should have it filled out before finishing the recording. When uploading an audio file, a template is not required unless the provider wants to use Custom Notes.

Who needs a paid Cerbo AI Scribe user seat?

Only Cerbo users who need to record encounters require a paid AI Scribe plan. Other staff members can edit AI Scribe-generated notes without having a paid Scribe seat. Administrators only count as paid Scribe users if they have opted into a Scribe plan.
